Bookkeeping reports and financial information are only as accurate as the information provided to us by the client, connected accounts, accounting software, or third-party platforms.
4. Client Responsibilities
To allow us to provide accurate and timely services, clients are responsible for providing complete, accurate, and timely information.
Client responsibilities may include:
- Providing access to accounting software, bank feeds, statements, receipts, invoices, and supporting documents
- Responding to questions and requests for clarification in a timely manner
- Reviewing reports, deliverables, and information provided by Flow Books Accounting
- Notifying us of changes to business operations, accounts, software, payroll, loans, or tax-related matters
- Maintaining final responsibility for business decisions, tax filings, payments, compliance, and recordkeeping
Delays, incomplete information, inaccurate records, or lack of access may affect our ability to complete services or deliver work by expected deadlines.
5. Consultations and Website Information
Any consultation, discovery call, website content, email response, or general communication before a formal engagement is intended for informational purposes only. It does not create a client relationship unless and until both parties agree to work together through a written agreement, accepted proposal, signed engagement letter, or other written confirmation.
We may choose whether to accept or decline any prospective client or engagement at our discretion.
6. Fees, Payments, and Billing
Service fees, billing frequency, payment terms, and due dates will be stated in the applicable proposal, invoice, engagement letter, or written agreement.
Unless otherwise agreed in writing, payment is due according to the terms stated on the invoice or agreement. Late, failed, or missed payments may result in paused services, delayed deliverables, late fees, or termination of services.
Client remains responsible for any unpaid balances for services performed, work completed, or agreed recurring fees through the effective cancellation or termination date.
7. Cancellations and Termination
Either party may end services according to the terms stated in the applicable proposal, engagement letter, service agreement, or written agreement.
If no separate cancellation terms are stated in writing, clients should provide reasonable written notice before canceling recurring services. Flow Books Accounting may also pause or terminate services if a client fails to pay, does not provide required information, misuses our services, or requests work outside the agreed scope.
Upon termination, client remains responsible for fees owed for services already performed or time periods already incurred.
8. Scope Changes and Additional Work
Services outside the agreed scope may require a revised proposal, updated pricing, additional fees, or separate written approval.
Examples of additional work may include:
- Cleanup or catch-up work not included in the original service package
- Additional accounts, entities, locations, or transaction volume
- Payroll, sales tax, inventory, loan tracking, or specialized reporting support
- Requests requiring significant research, correction, or reconstruction of records
- Work caused by missing, incomplete, or inaccurate prior records
9. Third-Party Platforms and Tools
Flow Books Accounting may use third-party tools, software, and platforms to provide services, including accounting software, document-sharing tools, payment processors, scheduling tools, client portals, and communication platforms.
Your use of third-party platforms may be subject to their own terms, privacy policies, subscription fees, security practices, and availability. Flow Books Accounting is not responsible for outages, errors, data loss, pricing changes, or issues caused by third-party platforms.
10. Intellectual Property
All content on this website, including text, graphics, layout, branding, logos, images, service descriptions, and design elements, is owned by or licensed to Flow Books Accounting unless otherwise stated.
